June 2012

Addresses:


We've made significant changes to the way you view and mark records private.


You can now mark records private to a custom list of users, instead of just individuals or groups.


Previously, private address records were hidden completely, but now will be visible to everyone. Those who are not listed to view the record will only see the Name, Company Name, who the record is private to and information from the Contacts tab. *Note – Users who have Accounting Access or iE Administrator Access will have access to the record regardless of the viewable settings.

In other parts of inEntertainment the name will be visible but no other data such as addresses or phone numbers, history or schedules will be available to those without full access to the record.


Bookings:


You can now mark Bookings to be viewable in the same way as Addresses. New bookings will default to the department selected when first creating the booking, but you can change it to a different group or set of individuals at anytime.


To change the "viewable by" on a new or preexisting Booking record, click the "pencil" icon next to the Department on a Booking record. *Note – Users who have Accounting Access or iE Administrator Access will have access to the record regardless of the viewable settings.


Properties:


In the Properties Module, the subject line in e-mail submissions will now only contain what is in the "RE:" field on the iE Submission window.


Accounting:


Commercial Renegotiation Letters for the same client and job will now combine onto one letter as long as the MPU dates match.


Call List:


Users can now set the default Call List selection to one that is not their own. Your default Call List opens when you click the Call List icon from the Home Screen or choose Call List from the Go Menu.

To set the default call list:
1. Open the Call List you would like to set as default, such as your boss's.
2. Go to the Edit menu and choose "Call List Preferences".
3. Click the button that says "Set to Default Call List".
4. Click the "OK" button to save your changes.


February 2012

There is a new option for appointments. Primarily used for Voice Over appointments where the talent needs to have completed the audtion by this time. With this button checked off, the appointment print out or email will preceed the time with the word "Before."


December 2011

Added a "Non-Taxable" button in accounting in order to exclude HST or VAT when invoicing.


Added support for date and time display in other formats besides US.

Added the ability to add theatrical holds in projects.

Added a number of new skill options pertaining to entertainment and circus skills.

Added a new Department type "ATL Commercial" to allow a "below the line" type of view of commercial projects.

Added "Eligible" to the choices for Union Membership options.

Unions are now sorted alphabetically in Vitals.

Added AGVA and SSCD union listings in Vitals.

Added the ability to add additional currencies to a list for use in accounting.

Audition Dates: In addition to call back and work dates, audition dates are now compared with the clients schedule for date conflicts when creating a submission list in search.

Added support for VAT collection in accounting.


Birthdays, Anniversary and Special dates are now viewed and edited from the front of the address card and are no longer found under vitals.


Added the ability to have multiple covered by's listed for a department in projects and properties.


You can set specific dates to not appear in the calendar. You can now set reminders for special dates as well.


In bookings you can now set up all fees and expenses for a booking or linked bookings and send out the invoice directly from the booking. There is now a specific place to enter in the address or email to send the invoice. This information is later transferred into the accounting record.

Added the ability to create multiple bookings that are all linked together. Previously to link bookings and accounting records together you used the Job or PO number field. Now this is handled internally. When bookings are linked you can send out one invoice for all the bookings. When payment is received you can pay all the accounting records at once. When you create one of the accounting records for a linked booking the accounting records for all the bookings are created at the same time.


Use the menu option to create multiple bookings for additional clients based on the current booking. You should fill out all the information for the master booking before selecting this option.


After bookings are linked together you can see a list of them from the Linked menu. You can use this to link additonal bookings or unlink them. You can copy information entered into a booking from one linked booking to the other linked bookings.


Previously to view the payment history on a booking the use would select view earning from the bookings menu. Now you can view the earnings from the fees and expenses tab. double clicking on a residual line will display the holding fees and use payments.


There are new options for importing project information into inEntertainment. You can import Film and TV projects from several sources.

Mid August 2011

Addresses:

You can now remove linked company phones, emails, urls and addresses from the those people linked to a company. Doing so does not remove it from the company record. Changes to removed items on the company record will not add them back to the linked record.

Adding new information will be added to the linked record.

If you make a mistake you can unlink and relink the record to get the linked information back.


Projects:

There is a new "Bid Sheet" option for Commercial Projects. This is mainly for Commercial Sales Reps. Click and hold on the print button on a project to see the option.


August 2011

Accounting:

From within either payment window, you now have the option to edit the fees without the need to exit out of the payment window. Right click on the line you wish to edit in the Theatrical payments window.


Click on button to the right of the Gross amount field to edit the fees from the Commercial payments window.


In this window you can add or adjust the fees without having to exit out of the payments windows.


There is a new way to look up Accounting records. In the "Accounting" menu, select "Lookup..." This will open a new palette window.


In the lookup field you can enter in a name or project. Hit return and then double click on any entry to go to that record.


In the Admin, you can now turn off the Excluded information from appearing on the client check stub.


In the Payments Received area of Check and Payments, you now have the option to print out a detailed report of the payments.


This only pertains to Candian Agencies: You now no longer need to enter in the HST amount in the fees area first. You only need to enter it into the payments window. There is a new button next to the HST field that when clicked inserts the HST amount, based on the percentage entered in the Admin window, into the HST field.


Once the HST amount is entered, either manually or by using the button, the withholding field deducts that amount.


Addresses:

There is a new Internal "Bio" option that works like the internal resume. There is also a new Internal Headshot option. When you have a headshot attached to a resume, that headshot also shows up in the list titled "Resume Headshot".

You can print the Headshot separate from the resume. Right click on any line to get a list of options.


There is also an option to select from multiple headshots for any resume.


You can now drag and drop Internal Resumes, Bios and Headshots from the inEntertainment documents tab into your email application. After the initial drag, the file will be converted to a PDF and then a new window will appear that let's you complete the drag and drop.


Call List:

The Call List can now filter calls by Client or Colleague. Click on the Kind pop up menu and change it to Type, then select from the menu to the right.


Another new option for the Call LIst is under the "Add" button labeled "Recurring". This allows you to set up a number of future calls to the same person or company, all that the same time.


Projects:

The Projects Grid report has been updated with more options, faster printing and a more consistent output.


LA Casting:

You now import project information provided by LA Casting and Casting Networks directly from within your browser. The instructions below will walk you through the steps of installing the inEntertainment plugin into your browser.

From the Bookings tab of Search you are now able to print a report of multiple bookings with full detail.

Accounting:

From within the accounting tab of the Addresses module, you can now assign one or more revenue centers to a split. For example if a manager only receives commissions on commercial jobs, then assgin him to only the commercial revenue centers by clicking the "Add..." button. The default for a split is "All" revenue centers.


December 2010

1. Added a new relationship heading - "Agent - Primary" and "Manager - Primary". Using one of these headings in place of just "Agent" or "Manager" will allow you to specify that this contact will be the one chosen to appear on the appointment slip by default.


November 2010

1.    We have changed the way the printing of reports and forms are handled. This will increase the creation and opening up of reports. If a form such as the appointment slip or invoice uses a company logo for the letterhead, the logo is now stored in the database and assinged to a user or group by using the IE Administration window. If you need help importing your company header and or footer into IE, please contact us.

2.    Several of the reports now display the headshot associated with the record. From Addresses List, Directory View or from the Addresses tab of Search you can view the headshots for contacts in the list. When printing out the list you have the option to include the photo as well.

3.    Internal Resumes & Invoices, created inside IE, are now converted to PDFs when emailed and are added as an attachment. When doing submissions with multiple resumes of this kind they are all combined into a single PDF. This file contains all headshots and resumes making it very easy for the recipient to scroll through the file.

4.    With Invoices you can now do mass emailing of invoices by selecting them from the Accounts Receivable list or Recurring Invoices list.

5.    The format for the Invoice has changed. Now all customization for what appears in the 2 main sections can be done from within IE by going into the Admin module.

6.    Financial reports now allow you to leave out any column including ones such as Gross or Commission.

7. When adding a break to a report the resulting output document is easier to read.

8.    A new option for users who have full printing rights is that you can restrict it so that all reports that the user prints are locked and display a watermark. You can give each user a custom watermark. The settings for this are in the Admin module under print settings.

9.    The Projects screen has a new field, “Format”. This field is meant to be used to hold the type of camera or editing software, but could also be used for “3D”. This is searchable under Bookings and Projects search.

10. The three different Commercial Renegotiation Letters can now be printed separately.

12. You can now setup recurring invoices to be printed for an accounting record by clicking the "Recurring" button on the accounting record. You will need to have the expense items listed on the accounting record for each date that you want to print an Invoice. For example if the

Commercial Bookings has a new option labeled "Under Regnegotiation". This button will reinstate an expired conflict, causing it show as an active conflict under the "History" tab and under the commercials area of search.

Year to date on checks will sometimes display two amounts now. If the amount of year to date earnings is different then the overall year date for the client because some earings were paid to the clients Loan Out Corp both amounts will appear on the check stub.
Viewing vitals from Bookings or Call List now allow you to also see and edit special dates. You can also edit or copy vitals.
Appointments for Talent now includes a field for Parking.
Tracking Entry in Projects now has the option to email out the cover letter with attachments.
Search - Project Tracking Report only displays tracking for records which are marked as clients.
Search - Category & Title search now includes the most recent booking for clients, provided the schedule is entered on the booking.
Appointments Received - Option to display appointment by the date of appointment.
Search - Projects Tracking report - Option to use Calendar Sets for selection of clients.

Addresses

Alias, Nickname, Credit Should Read, Stage Name and Legal Name if different from the name entered into the addresses are now shown in parenthesis after the name entered into the address record.

Now when looking up a contact from addresses or call list you can use any of those names.
